Collection of rent and service charge
  • Issue timely invoices and statements to all occupants and tenants on a regular basis.
  • Internal billing of services – Gas, water, electricity and generator as per meter readings.
  • On time collection of rent and service charge
  • Banking of all collection of rentals and service charges.
  • We can be contacted 24/7, 365 days for any emergency services required.
  • Supervision over all service providers. (Security guards, garbage collectors, cleaners, gardeners… etc
  • Supervision of contractors carrying out repairs in common areas.
  • Ensure routine cleaning and maintenance is carried out.
  • Oversee routine maintenance in common areas
  • Manage and keep a log of all common area maintenance.
  • Ensure timely invoices and statement are issued.
  • Obtain quotations from reputable insurance companies 3 months before expiry date to review and ensure adequate cover is taken.
  • Handling all documentation (contracts) relating to service providers.
  • Negotiate best rates with suppliers eg. security, garbage collection, insurance.. etc.
  • Internal billing of services – Gas, water, electricity and generator as per meter readings.
  • On time collection of rent and service charge
  • Banking of all collection of rentals and service charges.
  • Prepare and execute documentation for rules and regulation for occupants and tenants.
  • Duties and instructions for the guards and cleaner.
  • Ensure selling and letting agents also follow rules.
  • Liaise with all owner and board members as and when required.
  • Prepare minutes for all meetings.
  • Ensure utility service providers are paid on time after ensuring that the jobs have been carried out.
  • Annual bills like – land rates and rates, insurance are done without delays.
  • Maintain individual/ company bank accounts if need be with bank vouchers provided every month
  • We only make payments that are authorised and within our mandate. Prior approvals will be obtained from the landlord for any payments we are not authorised to make.
  • Maintain separate bank accounts for clients with records provided on regular basis.
  • Accounting and generating management accounts and reports on a regular basis.
  • Payroll Management.
  • Preparation of annual budget and cashflow management.
  • Liaise with Company auditors & Taxation consultants.
  • Submission of various statotory returns like NSSF, NHIF, withholding Tax and PAYE on iTAx and generate PRN to make payments.
  • Liaise with Company Secretary (CPS) for submission of Annual Return and any changes of directors and shareholders.
  • We will inform the landlord of any discrepancies or disputes relating to bills as soon as they are discovered and well before payments are due.
